Requirements & Terms and Conditions (June 2026)
1. Requirements
Applicants must ensure that the following requirements are met prior to travel:
• A valid passport or travel document with a minimum validity of six (6) months from the date of travel and at least four (4) blank pages
• A valid Meningitis ACWY vaccination certificate
• Two (2) recent passport-sized photographs
• A completed and signed application form
• Proof of full payment
• Female applicants over the age of 45 may travel without a mahram, in accordance with applicable consular requirements
• Non-European passport holders must be legally resident within the United Kingdom
2. Booking
2.1 The application form must be fully completed and signed.
2.2 A deposit of £1,000.00 must be submitted by cheque together with the signed application form to:

2.3 A receipt confirming the deposit will be issued and sent to the address provided by the applicant.
3. Payment
3.1 The remaining balance must be paid in full no later than six (6) weeks prior to the scheduled date of departure.
3.2 All payments must be made in British Pounds Sterling (£).
3.3 LICARS reserves the right to cancel any booking where full payment is not received by the due date, and the deposit may be forfeited.
3.4 Instalment arrangements may be offered at the sole discretion of LICARS under special circumstances.
3.5 All required documentation must be submitted to the office no later than six (6) weeks prior to departure.
4. Cancellation
4.1 Any cancellation request must be submitted in writing, stating reasonable grounds, and must be signed and dated by the applicant.
4.2 Cancellation charges shall apply based on the number of days prior to departure, as follows:
a) From the date of booking up to 90 days prior to departure: 10% of the total package price
b) 60 to 89 days prior to departure: 30% of the total package price
c) 30 to 59 days prior to departure: 50% of the total package price
d) 0 to 29 days prior to departure: 95% of the total package price
5. Visa and Tickets
5.1 Once the Hajj visa has been issued, 90% of the total package cost shall become non-refundable in the event of cancellation, regardless of the date of cancellation notification.
6. Delays and Changes to Travel Arrangements
6.1 Due to the nature of Hajj operations, delays and congestion are expected in the Kingdom of Saudi Arabia.
6.2 All timings provided are indicative only and may be subject to change.
6.3 Applicants must comply with instructions issued by their designated group leader, whose instructions shall take precedence over any general schedule.
6.4 LICARS reserves the right to amend departure dates or arrangements where necessary and will notify applicants of any such changes.
6.5 Changes are rare and may occur due to circumstances beyond LICARS’ control, including but not limited to adverse weather conditions, airline schedule changes, air traffic control decisions, mechanical issues, or industrial action.
6.6 LICARS shall not be liable for any loss arising from missed or invalid connecting flights or tickets due to delays outside its control.
6.7 Baggage allowance is the responsibility of the passenger. Any excess baggage charges imposed by airlines must be paid directly by the passenger.
6.8 LICARS does not provide baggage freight services and accepts no liability for lost baggage.
6.9 Any passenger who chooses to leave the group or travel independently during Hajj must inform their appointed group leader in person. Failure to do so may result in termination of the contract with LICARS and the passenger shall remain responsible for completing all required formalities and making their own travel arrangements.
7. Accommodation
7.1 All accommodation is shared and provided to a good standard, with ratings based on Saudi Ministry of Commerce standards.
7.2 Distances stated are based on official data provided by relevant Saudi authorities.
7.3 Accommodation in Mina and Arafat consists of tents provided by the Hajj Ministry. No tents are provided in Muzdalifah.
8. Price Changes
8.1 LICARS reserves the right to amend package prices at any time where necessary due to unforeseen circumstances beyond its control.
9. Health
9.1 Basic healthcare services are provided by the Saudi authorities.
9.2 Applicants taking regular medication must consult their GP prior to travel and disclose any medical requirements on the application form.
9.3 In the event of death, burial shall take place in accordance with Saudi Arabian regulations. Repatriation of the body is not permitted.
10. Our Commitment
LICARS, with many years of experience, is committed to facilitating a successful Hajj journey, Insha’Allah. In the event of any issues, LICARS will make reasonable efforts to resolve matters promptly and efficiently.
11. Financial Protection (ATOL)
11.1 When you purchase an ATOL-protected flight or flight-inclusive package, you will receive an ATOL Certificate confirming your financial protection.
11.2 LICARS, or the suppliers identified on your ATOL Certificate, will provide the services listed. Where this is not possible due to insolvency, an alternative ATOL holder may provide equivalent services at no additional cost.
11.3 You agree that in such circumstances, the alternative ATOL holder will perform the obligations under your contract and any outstanding payments shall be made to that party.
11.4 In some cases, it may not be possible to appoint an alternative ATOL holder. In such circumstances, you may be entitled to make a claim under the ATOL scheme or via your credit card provider, where applicable.
11.5 Where services cannot be provided due to insolvency, the Air Travel Trust may make a payment or confer a benefit under the ATOL scheme. In return, you agree to assign any related claims to the Trustees of the Air Travel Trust or any appointed body.
